You must be willing to: Set aside the necessary time to set up the systems. It took some time for you to get where you are and it will take some time for you to move out of that space; Make the necessary decisions to set up the systems; Replace old habits. Usually, the call for help means a readiness to change. If the systems are well-designed, with ease of use in mind, change will come more easily; and Maintain the system. It's like doing dishes or weeding the garden. If you keep up with it, maintenance time is short. If you let it go, it takes a little longer. However, with an underlying organization structure in place, one can always return to order. GETTING STARTED "A place for everything, and everything in its place." Many of us were raised hearing this statement, and it's still valid. It's important to determine, early in your quest for an organized office, where everything will go. If you do this correctly, there will be only one place to look for any particular item - and only one place to store it when it isn't in use. Don't wait for something to happen to trigger you to get organized. In order to implement changes in your work habits, you need to do the following: Keep your personal motivation in mind. Everyone has his or her own reason for wanting to get organized. What's yours? Determine what has been holding you back. If you face this problem squarely, it may never trouble you again. And mostly, recognize that you have the ability to change. It's never too late to try something new. Set goals. The more specific your plan is, the more you will achieve. Apply a new skill every day. The more you use your new skills, the more effectively they'll work for you. Reward your own
good behavior. Everybody likes positive reinforcement. When you've
earned it, treat yourself.
KEEP IT ORGANIZED! Don't feel guilty or blame yourself for being disorganized. I know of no formal course in school that teaches organizing skills. How can you know something you've never been taught - unless it just comes naturally? But, you don't have to be organized to the same degree as someone else; you only have to be organized to a degree that helps you work efficiently and productively. Avoid piles of paper at all costs! Horizontal piles of paper take up valuable surface space, distract you while you're working, and tend to grow higher and higher as you pile unrelated papers on top of one another. It's easier to find a piece of paper if it is standing vertically in a file with related papers than lying horizontally in a pile with unrelated papers. The time it takes to put papers in file folders is minimal compared to the time it takes to sort through stacks of papers--over and over--to find the ones you need. Keep the items you use often within reach. Constantly retrieving items you use a lot is as big a time waster as searching for lost items. Every time you leave your desk, you waste time and become distracted. It's important to keep in mind that wasted minutes each day turn into wasted hours each week. Those wasted hours will cost money Get a big wastebasket and keep it handy. USE IT!
